BOOKING TERMS & CONDITIONS

Application Screening

In proceeding with this application you give us express consent to use the details provided by you to undertake searches against sanction lists maintained by the Governments of France, the United Kingdom, and the United States and the governments of other countries of our choice, including those managed by the Treasury. This will not affect your rights or our obligations towards you under the Data Protection Act 2018. You have the right to ask us not to undertake such searches, but by doing so, we will not be able to progress your application.

The following items are required as part of the application:

•    Guarantor & Emergency Contact Details
•    Resident I.D.
•    Proof of Student Status/University Enrolment Letter
•    Employer's contact details, if applicable

Holding Payment and Reservation Agreement 
If you have paid a Holding Payment when entering in to the Reservation Agreement, a cooling-off period of three (3) days applies, starting from the date of the Reservation Agreement (the “Cooling Off Period”).

If you decide to cancel your Reservation Agreement within the Cooling Off Period, you may do so by sending an email to the site team, and your Holding Payment will be refunded in full.

If you cancel your Reservation Agreement after the Cooling Off Period, your Holding Payment will be retained.

Payments

We primarily accept payments via bank transfer, direct debit and recurring payment. Full payment instructions and payment terms and conditions will be provided during the booking process.

If needed, we may also use Stripe and Transfer Mate to collect details and process payment transactions.

CANCELLATION POLICY

This Cancellation Policy is compliant with the ANUK/Unipol National Code (the “Code”). The Code can change from time to time and, if anything in our Cancellation Policy conflicts with the Code, the Code will take precedence.

Where cancellation criteria are not met

If you wish to cancel your Tenancy Agreement but do not meet the Cancellation Criteria set out below, you will remain liable for the rent in full for the entire term of the Tenancy Agreement unless we, at our sole discretion, elect to release you and subject to the conditions set out below.

If you wish to cancel your Tenancy Agreement after commencement of the term of your Tenancy Agreement, and we agree to release you, you will remain liable to pay rent for four (4) weeks from the date we notify you in writing of your release, unless a suitable replacement tenant is found by you and approved by us (as set out below).

Replacement tenant

If you wish to cancel your Tenancy Agreement but do not meet the Cancellation Criteria, you may find a suitable replacement tenant, and request our approval of the same (which shall be at our sole discretion).

To request a replacement tenant, please email your site team.  

Please note that we will not agree to release you from your Tenancy Agreement, or to accept a replacement tenant, unless all outstanding accounts with us are settled in full.

Replacement tenant conditions

For a replacement tenant to be suitable they must meet the following non-exhaustive requirements:

•    be a student and meet the accommodation preferences attached to your room (for example, a female-only flat);
•    not have any rent arrears under any other tenancy agreements with the landlord or its affiliates;
•    not be an existing resident or have an existing 2026/27 room booking with the landlord or its affiliates;
•    sign a tenancy agreement for the entirety of the remaining term of your Tenancy Agreement and secure it with payment of any required deposit.

If a suitable replacement tenant is found and approved by us (at our sole discretion), we will release you from your Tenancy Agreement and your liability to pay rent, from the start date of the replacement tenant’s tenancy period, provided that the replacement tenant has signed their Tenancy Agreement and paid any required deposit on or before that date.

We will return your damage deposit (if any), minus any deductions relating to unpaid rent or the condition of your room/flat upon departure.

After the Tenancy Start Date as set out in the Tenancy Agreement, requests for room moves or for us to accept a replacement tenant to take over your tenancy will be managed based on availability and at our sole discretion. The terms of changing apartments, depending on the case, may require the signing of an amendment or a new lease agreement according to the type and rate of the new accommodation. A non- refundable Administration Fee of £50 will be payable in each instance and you will be responsible for cleaning the room in accordance with the terms of the Tenancy Agreement.

Requests for replacement tenants received after 1 June within the Tenancy Period will not be accepted.

Cancellation Criteria (exceptions allowing cancellation)

You may be eligible to cancel your Tenancy Agreement if you meet one or more of the following Cancellation Criteria:

1.    Visa Refusal – your application for a visa has been declined (this does not include situations where your visa has been granted and subsequently withdrawn);
2.    Academic Results – you have failed to obtain the required grades to study at university at the start of the 2026/27 academic year and as such, you do not have student status; 
3.    Exceptional Circumstances – you meet the cancellation criteria and requirements set out in the Code in respect of tenancy agreements (which may include serious medical grounds or bereavement).

In all cases, sufficient evidence to support your request must be provided.

What constitutes sufficient evidence will be determined by us (acting reasonably), and may include official written documentation from UCAS, visa authorities, or an embassy, supporting your stated reason for cancellation.

To submit a cancellation request where you meet the Cancellation Criteria, please send an email or letter to your site team, including all relevant supporting evidence.

Failure to provide sufficient evidence may delay our decision. We will respond either:

•    confirming our decision; or
•    requesting further information if required.

If you submit a cancellation request which satisfies the Cancellation Criteria before the tenancy start date (and you have not checked in to the property), you will be released from your obligations under the Tenancy Agreement from the tenancy start date, provided that sufficient evidence has been shared with us within 4 weeks of the date upon which you submit your cancellation request.

If you submit a cancellation request which satisfies the Cancellation Criteria after the tenancy start date you will be released from your Tenancy Agreement from the date that is four (4) weeks after sufficient evidence has been shared with us and you will remain liable for rent from the tenancy start date until then.

If a damage deposit has been paid, it will be returned following your release. However, if you have already moved into the accommodation, your deposit will be subject to deductions for:

•    any unpaid rent during the period of occupancy up to the approved cancellation date; and
•    any costs relating to the condition of your room/flat upon departure.

The early end of the academic year, or early completion of any examination period, does not qualify as valid criteria for release from your Tenancy Agreement.

TENANCY AGREEMENT

You will receive the Tenancy Agreement and its annexes for review and acceptance via the student portal.

Once you have entered into a Tenancy Agreement with Canvas®, you will be bound by the terms of that Tenancy Agreement, which is governed and administered under UK Law. You may cancel your Tenancy Agreement with us subject to the Cancellation Policy detailed above. You will have the opportunity to read the terms and conditions applicable to the Tenancy Agreement before you signify your acceptance of them. If you do not understand the terms and conditions of the Tenancy Agreement you are encouraged to seek appropriate advice before accepting them.

The Tenancy Agreement will not take effect, and the tenant's right to occupy the room will not commence until:

(a) The first instalment of Rent has been received by us in cleared funds; and
(b) The Tenancy Agreement has been signed by all tenants and the guarantor, and then countersigned by us on the specified effective date.

If you have not paid the first instalment of Rent on or before 31 July, we reserve the right to cancel your booking.

Greystar Automated Recurring Payment Policy – Terms & Conditions Breakdown

1. Card Registration and Future Instalments

Upon payment of the holding fee, the payment card or payment account details used for this transaction (the “Payment Details”) will be recorded on your account with Greystar. By agreeing to these Terms & Conditions, you provide us with authority to take payment from you using these Payment Details in the circumstances set out below, for example where a payment was due from you but has otherwise not been made by the due date. The Payment Details will be securely recorded and stored within Greystar’s property management system.

2. Default Automated Payment Method

The Payment Details will be set as the default automated payment method for all subsequent instalments according to the payment schedule selected by you, the applicant. This means that, unless otherwise specified, all instalment payments will be automatically debited from the Payment Details on the due dates.

3. Due Payments

If an instalment payment is made prior to the due date by the applicant, the Payment Details will not be used by Greystar to take payment for that specific instalment. Automated payment from the Payment Details will only occur if the instalment remains outstanding on the due date.

4. Updating Payment Details

Applicants have the flexibility to update or change their Payment Details at any time after completing their booking. However, it is a requirement that valid payment card and/or payment account details are always kept on record for the duration of the tenancy.

Where for any reason Payment Details are not recorded during the application journey, the applicant will be contacted prior to their next instalment. Details must be registered and updated on the property management system.

5. Applicant Responsibilities

Applicants must ensure their Payment Details are valid and that the nominated payment method has sufficient funds available for each scheduled payment.

Applicants are responsible for updating their Payment Details promptly if their card expires or is replaced, or if their payment account details change. 

In providing their chosen Payment Details, applicants are responsible for any fees or charges that may be applied by their payment service provider, for example any transfer fees charged by a bank account provider.

6. Failed Payments and Reattempts

In the event that a scheduled payment fails, Greystar will automatically reattempt to collect the payment from the Payment Details 7 days after the original due date. 

7. Data Security

All Payment Details provided will be handled in accordance with applicable data protection laws and Greystar’s privacy policy. Payment Details will be securely stored and processed only for the purposes described above.
